# Members and invitations

A project is shared by inviting people into it. Everyone you invite gets a role, and the role decides what they may see and do. The details are on [Roles and permissions](https://docs.zulink.co/team-and-plans/roles-and-permissions).

Both live under **Members** in the project settings, split into a **Members** tab and an **Invitations** tab.

## Inviting by email

Enter the address, pick a role, send. The recipient gets a mail with a link that leads them into the project, signing in or registering first if they need to.

The pending list shows every invitation with its role, status and expiry date, and lets you resend or revoke it. Statuses are *Pending*, *Accepted*, *Declined* and *Revoked*. Invitations expire on their own; a revoked one stops working immediately.

An invitation is only ever valid for the project it was issued for.

## Invite links

Sometimes an address list is the wrong tool, for instance for a workshop, a partner team, or anyone you cannot enumerate up front. An invite link grants the role you picked to whoever opens it.

When you create one you set:

- The **role** everyone joining through it receives.
- An **expiry date**, at most 90 days out.
- A **maximum number of uses**, or nothing for unlimited.

The list shows how often a link has been used and whether it is *Active*, *Revoked*, *Expired* or *Used up*. Revoking is instant.

Accepting is counted per person: the same user opening the link twice joins once and does not consume a second use. Everyone who joins is a normal member afterwards, and the link they came through has no further hold over them.

Treat an active link like a shared password. Anyone holding it can join with that role until it expires, runs out or is revoked.

## Managing members

The members table lists everyone in the project with their role and join date, and marks the owners and yourself. Search it by name or email.

From here you can change a member's role or remove them. Removal takes effect immediately; the person keeps their account and any other projects they belong to.

One rule is enforced everywhere: **a project always keeps at least one owner.** The last owner can neither be removed nor demoted, not even by themselves. To hand a project over, make the other person an owner first, then step down.

## Limits

How many members a project may have, and how many invite links may be active at once, depend on the plan. When a limit is reached, invitations are refused until you remove someone or upgrade. See [Plans and limits](https://docs.zulink.co/team-and-plans/plans-and-limits).
